Terms and Conditions

Welcome to Este Medical Group

We are a company registered in England and Wales, unless stated otherwise.
These Terms and Conditions of Business apply to all services, surgical or non-surgical, by Este Medical Group.

These Terms and Conditions (“Terms and Conditions”) outline the rules and regulations for the use of our services.

If there is any inconsistency between these Terms and other Este Medical Group materials, these Terms and Conditions shall prevail.


Este Medical Group Ltd – Responsibilities to Patients

Practitioners

All treatments are performed by qualified practitioners relevant to the treatment sought.

Verification of Credentials

All practitioners hold the required qualifications and professional registrations to practise in their respective services.

Appropriate Facilities

We provide or arrange suitable facilities for the safe and effective delivery of all treatments, ensuring health and safety at all times.

Informed Consent and Suitability

Our consultants ensure you are provided with clear information so you can:

  • Understand the nature and purpose of the treatment.

  • Make an informed decision about proceeding.

  • Participate in an assessment to determine suitability and effectiveness.

  • Understand potential side effects, risks, and expected outcomes.


Your Obligation to Disclose Material Information

You must provide complete and accurate information about your medical history, allergies, medications, and any previous surgeries.
This information allows us to deliver safe and effective care and minimise adverse reactions.

Failure to disclose material information may affect your treatment results and increase the risk of complications.
Este Medical Group cannot be held liable for issues resulting from non-disclosure.


Compliance with Advice

You must follow all advice provided by our consultants, including:

  • Pre-treatment preparations.

  • Post-treatment care instructions (e.g., avoiding makeup, alcohol, or unapproved products).

Failure to comply may affect results and increase risk of adverse reactions.


Policy on Minor Children

Children over 16 may accompany you but must remain in the reception area.
We do not take responsibility for unaccompanied minors under 16.
If you bring a child under 16, management may reschedule or cancel your appointment for safety reasons.


Appointments and Cancellations

Cancellations & Rescheduling

  • Notify us at least 24 hours before your appointment if you cannot attend.

  • Less than 24 hours’ notice without a valid reason may result in:

    • £50 cancellation fee.

    • Forfeiture of deposit if unpaid and no further booking is made.

Sun Exposure / Laser Treatments / Chemical Peels

  • Treatment will not be performed if you are sun-tanned.

  • Notify your clinic at least 48 hours in advance if you had sun exposure or UV tanning.

  • If you fail to inform us and treatment cannot proceed, the session will be forfeited.

Punctuality

  • Arrive 15 minutes before your appointment for any paperwork.

  • Late arrivals may reduce or cancel your session.


Deposits and Payments

Booking Deposits

  • A deposit is required to secure your booking.

  • Remaining balance must be paid before treatment starts.

Validity

  • Deposits are valid for 12 months from payment date.

  • Deposits will be forfeited if treatment is not taken or balance unpaid within this period.


Refund Policy

  • Refunds are not guaranteed and only granted at management discretion.

  • If approved, a Refund Policy Form must be signed before processing.

  • Refunds are processed within 28 days via the original payment method.

Product Refunds

  • Opened skincare or retail products are non-refundable.

  • Sealed products may be refunded at management’s discretion.

Pregnancy Policy

  • If you become pregnant, treatment will be paused.

  • Treatments may resume 3 months post-pregnancy and nursing, subject to medical advice.

Package Treatment Refunds

If a refund is granted:

  • Full list price of completed treatments will be deducted.

  • Missed appointment fees will apply.

  • Any remaining balance will be refunded.

Please Note:
This is an essential section of the document, which has a significant impact on both Este Medical Group and you, and it must be read carefully and understood.

Inherent Risks

All cosmetic, aesthetic, and medical-grade procedures carry inherent risks, including but not limited to skin irritation, allergic reactions, pigmentation changes, scarring, delayed healing, infection, treatment failure, and hair loss or lack of regrowth.

No Guarantee of Results

While we strive to achieve the best possible outcome, results are not guaranteed. Outcomes may vary significantly based on individual factors such as age, skin or hair type, genetics, medical history, lifestyle habits, and adherence to aftercare instructions.

Client Responsibilities

You are responsible for:

  • Providing complete and accurate medical information before treatment.

  • Following all pre- and post-treatment care instructions.

  • Informing the clinic of any changes in your medical condition or medication use.

Limitation of Liability

Except in cases of proven negligence resulting in personal injury or harm, Este Medical Group and its staff shall not be liable for any direct, indirect, incidental, or consequential loss or damage, including dissatisfaction with results.
We are not liable for complications arising from the non-disclosure of medical conditions, failure to follow aftercare instructions, or the use of non-prescribed products.


Medical Emergencies & Allergies

It is your duty to disclose any allergies or conditions.
We are not responsible for adverse reactions when information is withheld.


Informed Consent

Understanding of Treatment

You acknowledge you have received a full explanation of:

  • Nature and purpose of the treatment.

  • Expected benefits.

  • Risks or side effects.

  • Alternatives available.

Opportunity to Ask Questions

You had the chance to ask questions and all were answered to your satisfaction.

Voluntary Participation

You understand treatment is voluntary and you may withdraw consent anytime.

No Guarantee of Outcome

Results may vary and are not guaranteed.

Disclosure of Medical History

You confirm full disclosure of relevant health information.

Consent to Proceed

By proceeding, you consent to the treatment as discussed.


Complaints

We aim to deliver the highest standards of care.
If dissatisfied, please speak directly with the Clinic Manager or deputy.
For formal complaints, refer to our official Complaints Procedure (link available at the clinic).


Alternative Dispute Resolution

In the event of any dispute:

  • Both parties will first attempt to resolve through negotiation.

  • If unresolved, mediation will follow under the CEDR Model Mediation Procedure.

  • Court proceedings may only commence after mediation attempts, except where necessary to preserve rights.


Confidentiality and Data Protection

We comply with:

  • UK GDPR

  • Data Protection Act 2018

Collection & Use

We collect your personal and medical data for safe and effective clinical care.
Your data is used only for consultation, treatment, aftercare, and internal records.

Disclosure of Information

Your information is confidential and shared only with staff directly involved in your treatment, or when required by law or medical emergency.

Your Data Rights

You have the right to:

  • Access your personal data.

  • Request corrections.

  • Withdraw consent (which may affect treatment eligibility).

  • Request data deletion within legal retention limits.


Treatment Photography Consent

Before and after photos may be taken for medical documentation purposes only.
Images are stored securely and used to monitor progress.
Results may vary per individual.


Storage and Security

All client data and photographs are securely stored in encrypted systems or locked files.
Access is restricted to authorised personnel only.
Data is retained only for legally required periods, then securely destroyed.


No Variation

No amendments to these Terms are valid unless agreed in writing and signed by the Clinic Director.
Verbal agreements are not legally binding.


Legal Jurisdiction

These Terms and Conditions are governed by the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.


Declaration of Understanding

By signing, you confirm that:

  • You have read and understood these Terms and Conditions.

  • You agree to comply with all terms outlined.

  • You understand failure to comply may lead to consequences as described.

This declaration is made voluntarily with full knowledge of its significance.
